However, a search query alone does not explain why someone is searching, what situation they are in, or what they need to do next. That is why a strong content brief should not be built around keywords alone. It should start with the situation the audience is facing. This context helps determine what content to create, which problem it should solve, and how its effectiveness should be measured. For mid-sized and enterprise businesses, this is particularly important. In complex industries with long decision-making cycles, generating organic traffic is not enough. Content needs to address the real needs of potential customers at a specific stage of their journey. Businesses were producing large volumes of articles based on keywords with potentially high search volume, without always considering whether that information was actually valuable to their audience or contributed to business goals. Questions businesses should ask When a company is planning content solely because a keyword has high search volume, it is worth asking at least two questions: Why are we trying to outrank the entity that is clearly the most authoritative source for this question? Why, as a business, would we want to attract potential customers who do not already know this basic information or know how to find it themselves? These questions help shift the perspective. Instead of asking: “What keyword should we rank for?” marketers should ask: “What journey is our audience on, and what questions or concerns arise along the way?” That is where audience context becomes the foundation for content planning. From keywords to audience situations People do not naturally think in keywords. They think in terms of situations, needs, problems and desired outcomes. For example, a person may not actually think: “best new sweet snacks 2026” The search could instead be driven by very different situations: Their partner is pregnant and wants to try unusual sweets they have never had before. They want to buy something new for Halloween. They want to impress their friends with an unusual dessert at their next dinner. The keyword may be similar in all three cases. The situation is completely different. As a result, the person's needs, the type of useful content and the brand message can also be different. This approach is much closer to how audiences actually think about products and categories than mechanically creating individual pages around individual keywords. From topics to Category Entry Points A topic is only the starting point. The next level is Category Entry Points (CEPs) — the situations and contexts in which people think about a particular product or service category and begin considering it as a potential solution. For example, the topic “CRM for business” can represent dozens of different situations: A company is growing rapidly and can no longer manage customer data in spreadsheets. Marketing and sales teams are working with separate data sources. The company is replacing its existing CRM. Management needs unified reporting. The business wants to automate customer communications. The marketing team wants to increase repeat purchases. The topic is the same, but the entry point into the category is different. These situations should be reflected in the content brief. Seven questions that help define the audience situation To work with Category Entry Points, marketers can use seven questions described in Jenni Romaniuk's framework: Why? — Why has the need for the product or service emerged? When? — At what point does the need arise? Where? — In what environment or context does the situation occur? While? — What else is happening at the same time? With whom? — Who else is involved in the situation or decision-making process? With/for what? — What is the product or service needed for? How feeling? — What does the person feel in this situation? These seven questions should become part of the content briefing process. In fact, they are worth answering before the team decides to create any new content for the website or brand. Who knows the audience best? The marketing team is not always the best source of information about customers' real problems. The most valuable insights often come from employees who interact with customers directly: customer support teams; sales teams; account managers; consultants; in-store staff; customer success teams; other employees who regularly represent the brand in public. These teams hear customers' real questions, objections, concerns and problems. For example, an SEO team may identify a keyword with significant search volume. But a sales representative may explain that customers almost never ask about that topic during sales conversations. At the same time, a customer support team may receive the same complex question repeatedly, even though the related keyword has almost no search volume. For content strategy, the second insight may be far more valuable. Not everything valuable can be measured by search volume There is an important limitation to this approach: audience situations are much harder to quantify than keyword research. Search volume can be represented by a specific number. For example: “This keyword gets 12,000 searches per month.” It is much harder to reduce a statement such as this to a single metric: “Our customer support team received more than 200 questions about product integration over the last six months.” However, the second piece of information may provide a much stronger indication of an actual customer need. This means marketers should not confuse measurability with value. Search volume is a metric. But it is not always the best evidence that a topic matters to the business. Customer feedback may be harder to quantify, but it can provide a much stronger business case. For example: “We are creating this content because our customer support team has received the same question repeatedly from customers over the past six months.” This is a fundamentally different argument from: “We are creating this content because this keyword has the highest search volume in our category.” For a business focused on real customers, the first argument can be considerably stronger. What should a content brief look like? When content briefs are built around audience situations, they can include the following sections. The seven questions about the situation Include a separate field for each of the 7 W's. Where possible, also document who within the organization provided the information. For example: Sales Team; Customer Support; Customer Success; Account Manager. This creates traceability and makes it easier to fact-check the information or add more context later. The scenario the content is solving Describe the specific situation for which the content is being created. For example: A business owner is approaching the end of their first financial year and does not know how to prepare the required reporting. A new marketing leader has taken over a business and needs to assess the current state of its marketing performance. A junior specialist is learning a new process and needs a clear explanation of how it works. A marketer is scaling paid media campaigns and facing attribution challenges. A company is entering a new market and needs to determine the right marketing strategy. The more specific the situation, the easier it is for the writer to understand who the content is for and why it is being created. Standard content brief elements The other components of a traditional content brief remain important: content type: informational, consideration or transactional; primary objective; recommended structure; key messages; brand tone of voice; existing content coverage; pages that should be updated or expanded; length guidance; internal linking recommendations; sources and supporting facts; success criteria. Audience situations do not replace SEO data or traditional content briefing. They add context to them. The result is content with a clearer purpose: it addresses a real customer situation, supports the customer's journey and answers the questions that arise during the decision-making process. How to test whether this approach works If leadership or the marketing team is skeptical about moving from traditional keyword-based briefs to audience-situation-based briefs, there is no need to rely on theory alone. The best approach is to test it. Create two briefs for comparison: Option 1: A traditional content brief built primarily around keywords. Option 2: A content brief built around the 7 W's and a specific audience scenario. Then compare the quality of the content produced by your writers. If you have the necessary resources, you can also test the content on your website and compare performance. Potential metrics include: scroll depth; content interactions; click-through rate; organic impressions; navigation to other pages; conversions; engagement; impact on the customer journey. This moves the discussion from: “Which approach sounds better?” to: “Which approach produces better results?” What does the business gain? When content is built around real audience situations, the business can gain several advantages. First, potential customers can find answers to their questions before they are ready to purchase a product or service. Second, the marketing team develops a deeper understanding of its audience. Instead of focusing primarily on search semantics, the team works with real customer problems, triggers and barriers. Third, content becomes more closely connected to the customer journey. It does not simply bring users to the website; it helps them move from one stage of decision-making to the next. Finally, the brand can build its expertise around the issues that genuinely matter to its customers. That can be significantly more valuable than ranking first for a broad, high-volume query that has little connection to the people the business actually wants to attract. Conclusion Keywords remain an important part of SEO and content marketing. However, they should not be the only basis for content decisions. Keyword research tells you what people search for. Audience situations help you understand why they search for it. For mid-sized and enterprise businesses, this distinction is particularly important.
